The type of personal information we collect
We currently collect and process the following information:
Customer contact details (email, phone numbers, address), ticketing and membership transaction history
Employee personnel files (personal data pertaining to employment)
Volunteer files (personal data pertaining to volunteering)
Personal details contained in documentation relating to our business together including correspondence, contracts, and other documents generated in doing business together.

How we get your personal information and why we collect it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
To provide information about our programme of events, or changes for events you have booked tickets for, or other information you have requested from the Regal
If customers contact us, we may keep a record of that correspondence.
Details of transactions customers make through the Box Office and administration office may be held on our databases.
Third parties who hold personal customer information (which could include banks, credit card agencies) may provide information as a matter of ordinary business dealings, or we may ask them to do so.
We may send promotional emails or printed literature about the Regal and its programme of events or other information we think you may find interesting using the contact details you have provided.
We may use your information to contact you for market research purposes.
We may use the information to improve our services and communications.
We may contact you by email, phone, or direct messaging via social media.
We will never sell your data to other organisations.
We use the information that you have given us in order to provide services to customers, employment or volunteering opportunities.
We may share this information with third parties, including third-party service providers, for example in connection with supporting our e-newsletter and professional advisers where necessary, who may be party to confidential discussions related to an individual.
We require third parties to respect the security of your data and treat it in accordance with the law. We will share your information with third parties where required by law, where it is necessary to administer our relationship with you or where we have another legitimate interest.
All our third-party service providers are required to take appropriate security measures to protect your personal information in line with our policies. We only permit them to process your personal data for specified purposes and in accordance with our instructions.
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information
Volunteer and staff information is securely stored on OneDrive and a paper copy of next of kin is stored in a locked safe.
We keep:
Volunteer personal data – duration of volunteering plus 6 years
Employee personal data – duration of employment plus 6 years
Customer personal data – is held as you join the mailing list – it will only drop off the sales and mailing list if you unsubscribe.
We do not hold any payment data, and all secure and payment data is automatically removed after payment.
We will then dispose this information as follows: paper copies will be securely shredded, digital copies will be delete and an annual digital audit will ensure all back copies are deleted forever.
Your data protection rights
Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay a charge for exercising your rights. If you make a request, we have one month to respond to you.
